Complete PropPilot User Guide

🚀Quick start

1. Open Property, select “My first property”, and enter the property name, unit number and monthly rent.
2. Open Tenants, add a tenant, and set the lease start and end dates.
3. PropPilot creates monthly rent records for the lease period. Open Finances to review payments, mark rent as paid or add expenses.
4. Open Account to select a language and currency, and optionally connect Google Drive.

Data storage: Core property, tenant and finance records are stored mainly on your current device. Back up important data regularly.

📊Overview

• See summaries of properties, tenants, monthly rent income and operating expenses.
• Needs attention lists unpaid rent from the current and previous months in red.
• Each overdue item shows the tenant, property, unit, amount and due date.
• Mark paid asks for confirmation before changing the payment status.
• The yearly bar chart compares Rental Income and Operating Expenses from January to December.
• The top-right icon opens Google Account, subscription, backup and personal settings. It shows the app icon when signed out and may show the Google profile photo when signed in.

🏠Properties

Property list

• Tap a property name to expand or collapse its details.
• Edit or delete a property from its menu. A confirmation message appears after a successful action.
• The Free plan manages and displays the first property. Premium: multiple properties

Add or edit a property

The full-page form supports keyboard Next and Done actions. Tap outside a field to hide the keyboard.

• Property name, unit number, address and monthly rent. Property name, unit number and monthly rent are required.
• Management contact and phone, maintenance-fee account or QR code, and fee amount.
• Parking space, security phone and remarks.
• Multiple custom bill accounts for water, electricity, internet or other services. Copy an account number or scan a barcode with the camera.
• Multiple property photos and one property contract PDF. Photo controls are at the bottom of the form.

Property inventory

• Record televisions, air conditioners, furniture, appliances and other items, including quantity, notes and photos.
• The Free plan allows up to five inventory items per property.
• Premium: unlimited inventory items

Before deleting: Removing a property may affect related tenants, rent and expenses. Back up or export important records first.

👥Tenants

• Add or edit tenants. Name and phone number are required.
• Save email, emergency contact, lease dates, deposit, utility amount and an identification image.
• The Deposit field includes a calculator. Tap OK to return the calculated value to the form.
• The tenant list shows the rented property and unit. An expired Lease ends date appears in red.
• Use the phone, SMS and WhatsApp buttons to open the matching app. Include the international country code, such as +60 for Malaysia.
• After a tenant is saved, PropPilot automatically creates monthly rent records from the lease start through end date. Manual Add Rent remains available.

Store identification and personal information only when you are authorized to do so, and protect your device and Google Account.

💳Finances

Rent payments

• Filter records by one property or choose All properties.
• Each item shows the tenant, property, unit, rental month, amount and status.
• Overdue records have a light-red background. Current and future records are easy to find while older unpaid items remain visible.
• When adding or editing rent, choosing a tenant fills the property’s default Monthly Rent.
• Optionally record payment method, payment date, notes and a bank slip.
• Use Send Notification on an overdue item to prepare a WhatsApp or SMS reminder. You review and send it in the external app.

Expenses

• Record repairs, utilities, management fees and other operating costs.
• Add a title, amount, date, category, notes and an optional receipt image.
• Expense data is used in the Overview chart and Financial PDF report.

🛠️Service contacts

• Save employees, contractors or service companies with contact name, company and phone number.
• Categories include plumbing/electrical, air conditioning, cleaning, furniture and other.
• Edit or delete contacts and keep them organized by category.
• Tap the phone button to call or the green WhatsApp button to open a conversation.

⚙️Account and general settings

• Google Account: View connection status, profile photo or sign out. Google Sign-In does not create a separate PropPilot account.
• Subscription plan: Purchase monthly or yearly Premium, restore purchases, or manage and cancel through Google Play or the App Store.
• Currency: Select USD, MYR, CNY, INR and other supported currencies.
• Language: English is the default; Simplified Chinese and Malay are also available.
• Share: Share PropPilot download information through the system share sheet.
• Feedback / Support: Prepare an email to hzmobile.app@gmail.com.
• Policies: Read the Privacy Policy and Terms of Use.
• About PropPilot: View the app icon and version.

☁️Google Drive backup and restore

• Google Sign-In is optional. PropPilot requests only the drive.appdata permission and cannot browse ordinary Drive files.
• Backups use the hidden application-data area of your own Google Drive and count toward your Google storage.
• The Free plan can manually back up and restore one property.
• Premium: manually back up and restore all properties
• Premium: automatic daily backup around 3:00 a.m.
• The operating system decides the actual background execution time based on network, battery, Google services and available storage. It may not run at exactly 3:00 a.m.
• PropPilot keeps a local safety snapshot before restoring, but you should still retain copies of important documents.

📄PDF reports and files

Premium only: Export Property and Export Financial Report.

• Export Property: Includes property details, bill accounts, management information, inventory, contract information and photos.
• Export Financial Report: Combines rent and expenses for all properties or one selected property.
• PDF headers include the PropPilot icon. Images appear after the main information and retain their original quality where practical.
• Review PDF supports zooming, sharing and saving the PDF to a device folder.

🌐Web version

• Open the Web App at https://proppilot.hzmobiletech.com/.
• Subscriptions are purchased through the Android or iOS app, not directly on the web.
• After the mobile app verifies the store subscription, it links the entitlement to the connected Google Account.
• Sign in to the Web App with the same Google Account to read the subscription status.
• Premium: full Web management
• After cancellation, Premium usually remains available until the paid billing period ends.

★Free and Premium plans

When Premium expires, additional property data is not automatically deleted, but the Free plan displays only the first property. The data becomes available again after resubscribing.
